AdvancedMD Claims Feed Report Errors

If you have an AdvancedMD integration, it's important to check your Claims Feed Report daily to ensure claims are going through. If you see any errors, you can very often correct them and resubmit from the Claims Feed Report.

Error Message Possible Causes Resolution
add/update insurance failed. Code: (-2147217398) Message: (Another user has changed this insurance record.) In WebPT - Usually caused by a leading space or special character in the insurance information. In WebPT, locate the extra space or character and remove it. Then, click Save Patient.
add/update insurance failed. Code: (-2147217833) Message: (String or binary data would be truncated.) WebPT – Group # or Subscriber ID is too long in WebPT. Group number is limited to 15 characters and the Subscriber ID is limited to 20 characters. In WebPT, fix the number in error and click Save Patient.
add/update insurance failed. Code: (-2147217887) Message: (Invalid character value for cast specification.) WebPT – Policy or authorization dates are not valid (e.g., 9/1/2100) In WebPT, fix the dates and click Save Patient.
add/update insurance failed. Code: (-2147217900) Message: (Incorrect syntax near '.00'.) WebPT – Copay has multiple decimal points, usually because two copay amounts have been entered. Or, the copay contains letters. In WebPT, fix the copay amount on the patient's insurance details and Save Patient.
add/update responsible party failed. Code: (-2147217398) Message: (Another user has changed this responsible party record.) In WebPT - Usually caused by a leading space or special character in the guarantor information. In WebPT, locate the extra space or character and remove it. Then, click Save Patient.
add/update responsible party failed. Code: (-2147217833) Message: (String or binary data would be truncated.) WebPT – Insured party address is longer than 30 characters. In WebPT, fix the address for the insured party and click Save Patient.
Attempting to operate on a patient that’s not mapped. Usually caused by a failed demographic transmission to create a patient in AMD. Identify the original failed demographic transmission and correct its underlying error.In WebPT - For demographic transmissions, click Save Patient. For financial transmissions, resubmit through the Claims Feed Report.
Could not find attending provider. WebPT – The Alternate ID in the User profile does not match a provider code in AMD. Update either WebPT or AMD, so that the Alternate ID of the provider matches a provider code in AMD.In WebPT - For demographic transmissions, click Save Patient. For financial transmissions, resubmit through the Claims Feed Report.
Could not find assisting provider. WebPT – The Alternate ID in the User profile does not match a provider code in AMD. Update either WebPT or AMD, so that the Alternate ID of the provider matches a provider code in AMD.In WebPT - For demographic transmissions, click Save Patient. For financial transmissions, resubmit through the Claims Feed Report.
Diagnosis code <xxx.xx> could not be loaded in API. AMD – The specified diagnosis code does not exist. In AMD, import the specified diagnosis code.In WebPT - For demographic transmissions, click Save Patient. For financial transmissions, resubmit through the Claims Feed Report.
Modifier <xx> could not be located in API. AMD – The specified modifier doesn’t exist. In AMD, add the specified modifier. In WebPT, resubmit from the Claims Feed Report.
Primary payer external ID was not found in the API. WebPT – The alternate ID of the insurance doesn’t match a carrier code in AMD. Update either WebPT or AMD so that the Alternate ID of the insurance matches a carrier code in AMD.
Procedure code <xxxxx> could not be located in API. AMD – The specified CPT code doesn’t exist. In AMD, import the specified procedural code. In WebPT, resubmit from the Claims Feed Report.
Referring provider is not found in AdvancedMD. WebPT – The alternate ID of the referring physician doesn’t match a referring provider code in AMD. Update either WebPT or AMD so that the Alternate ID of the referring physician matches a referring provider code in AMD.
Responsible party lookup found more than one possible match. AMD – More than one responsible party matches the subscriber information on one of the policies for the patient. In AMD, remove Duplicate Responsible Party profiles. (Consult AMD if needed). In WebPT, identify patients with a common Insured Party/ Guarantor. Edit all Insured Party/ Guarantor profiles for the same person so they match 100%. Resubmit from the Claims Feed Report.
Fault savecharges failed. Code: (-2147217873) Message: (The INSERT statement conflicted with the CHECK constraint " AMD - The allowable fee has three decimals. In AMD, change the fee so only two decimals appear.In WebPT - For demographic transmissions, click Save Patient. For financial transmissions, resubmit through the Claims Feed Report.
savecharges failed. Code: (-2147217900) Message: (There is no Active Batch for this user.) AMD - The “Require Batches” flag is turned on (Utilities/system defaults/transaction entry) In AMD, turn off  â€śRequire Batches.”
updepisode failed. Code: (1) Message: (Invalid EpisodeID) The episode was deleted in AMD. Delete the case map and let Integration rebuild.
addreferral/updatereferral failed. Code: (3421) Message: (The application uses a wrong value type for the current operation.) There’s text in a numeric field; it’s likely a case authorization number. In WebPT, correct the authorization error. Then, click Save Patient.
addvisit failed. Code: (-2147217900) Message: ((The Microsoft Distributed Transaction Coordinator (MS DTC) has cancelled the distributed transaction.)) The original patient was deleted from AMD. Add patient to AMD and contact WebPT Support.
addreferral/updatereferral failed. Code: (-2147217913) Message: (The conversion of a varchar data type to a datetime data type resulted in an out-of-range value.) The date isn’t valid on the case authorization. Change the correct date value and click Save Patient.
Snpu_TransactionXml There are no CPT codes on the note. Create an addendum. Then, Finalize & Rebill.
add/updatepatient failed. Code: (-2147221381) Message: (Unhandled ADO error(s) caught when closing the connection: Error #-2147217873: The INSERT statement conflicted with the FOREIGN KEY constraint"FK_pt_PatientInfo_mf_PGProfiles". The conflict occurred in database "PPMD_CLIENT_CBO_983_5_0", table"dbo.mf_PGProfiles". SQL State: 23000 NewID:0) There is no provider profile selected in AMD. In AMD, navigate to Utilities > System Defaults > Demographics > Patient. Verify or add a provider profile.In WebPT - For demographic transmissions, click Save Patient. For financial transmissions, resubmit through the Claims Feed Report.
 Invalid Provider Type Appears if a therapist assistant finalizes a note for a patient whose insurance carrier may not allow therapist assistants to submit claims. Review payer guidelines from the carrier to ensure correct therapist types see patients with that particular insurance carrier. 
add/updatepatient failed. Code: (-2147221504) Message: (AMD-128102-01211330 | String or binary data would be truncated. The statement has been terminated.) A field in the patient info section of the chart is over 30 characters (this includes spaces); typically an address Shorten/abbreviate info or split between fields (i.e. instead of putting 123456 North 156th Way NE Unit 123 in Address 1, put 123456 North 156th Way NE in Address 1 and Unit 123 in Address 2)
updextrainsinfo failed. Code: (500) Message: (internal server error) Timeout error Resubmit claim through CFR/reinitiate demographic transmission by editing & saving patient info (without making any changes); members may need to try a few times/wait a little while for whatever is causing the timeout issue to be resolved first
